Clubs get a 30-day free trial with no card required. During the trial, you can run up to 3 vendors per event with up to 10 items each, enough to try the full workflow from registration through to reconciliation.
After the trial, it's a flat AUD $100/year subscription (GST-inclusive, unlimited events, no vendor or item limits), plus a small percentage fee on reconciled event sales, invoiced separately after each event. There's no cost for vendors — registering and selling is free.
Yes. Any club running a commission-based bring-and-buy or second-hand sale can use it — model railways, antiques, collectables, whatever the hobby. Categories and item types are fully configurable to match how your club already runs its sale.
Cancelling doesn't delete anything. Your account and past event history stay exactly as they are, though you'll lose access to the club portal until you resubscribe.
If you'd like your personal details removed entirely, get in touch and we'll take care of it. Sales and reconciliation records still need to be kept for accounting purposes, so those stay on file even after your account's closed.
Click Get Started on the homepage and choose "Register as a Club." You'll set up your club's details and land on your dashboard, ready to create your first event.
From your Club Dashboard, add a new event with its dates, venue, and commission rate. If you've run an event before, you can start from an existing template instead of entering everything again.
Vendors register themselves online and submit their own item lists in advance. You review and approve registrations from your event's vendor list.
Scan each item's barcode as it's presented. Every item is either accepted or rejected on the spot, and the vendor gets a signed check-in report showing exactly what was accepted.
Open the Point of Sale screen for your event and scan items as they're sold. Every sale is linked back to its vendor automatically — no manual tracking needed.
Once the sale closes, reconcile each vendor to calculate what they're owed. Payouts and unsold-item returns are tracked for you, and a printable reconciliation report is generated per vendor.
Once an event closes, a draft invoice for the platform's percentage fee is created automatically. It's reviewed and sent from Platform Invoices in your admin portal — you're never charged without seeing it first.

Once you're registered for an event, add your items online before the event — description, category, condition, and price. Labels are generated automatically from your list.
After the club reconciles the sale, you'll be able to see what sold, what came back unsold, and what you're owed.
Yes — that's the whole point. Register once, and you can sell at any club using ourclubsale.com without filling in a new form each time.
Any barcode scanner that plugs into or pairs with a laptop and reads Code 128 barcodes will work — that's the format every item label uses. Cheap generic USB or Bluetooth scanners work fine for check-in and point of sale. There's no need for an expensive, dedicated unit.
Any printer that can print on A4 paper. Inkjet or laser both work fine — there's nothing special required.
Item labels and vendor address labels both print on Avery L7160 sheets (63.5mm x 38.1mm, 21 labels per A4 sheet). This is currently the only stationery size supported. If your club is outside Australia, the UK, or Europe and uses US-sized label sheets, get in touch — we have plans to support US-sized stationery.
No. ourclubsale.com runs entirely in your web browser. All you need is a device with an internet connection, a barcode scanner, and a printer for labels and reports.
